ARADA Maritime is a maritime services agency in Greece. Its salespeople keep in touch with shipping companies, visit them, and win requests to supply their vessels. insidethebox designed and built the platform the team runs this on, deployed it, and maintains and extends it.

## Challenge

A sales team like this carries three questions through the day. Where are our companies, and where does each one stand with us? Who should be called today, and who has been called already? Which requests are open, and why were the others lost?

None of them is answered by a spreadsheet of vessels due in port, which is where the work starts.

## Strategy

We built the platform around the order the team already works in. A company goes on the map. Its people go on a calling list. A call becomes an appointment, an appointment becomes a request, and a request ends as won or lost with a reason.

Each salesperson keeps their own relationship with a company: their own status for it, their own contacts and their own private notes.

Port call lists feed the same flow: an uploaded list of arriving vessels is matched by rule to the companies behind them, and an uncertain match waits for a person.

## Build

The map shows every shipping company as a pin, coloured by its status for the person looking: client, receiving requests, do not disturb or inactive. Companies are grouped into districts. Opening a pin docks a panel beside the map with the company's people, its latest appointments and its requests.

A calling list is a named set of people to ring, filled from the personnel table or straight from a company's panel on the map. Each call is logged as confirmed or as a callback in ten minutes, a week or at a chosen time. Confirmed calls leave the list and callbacks become reminders. The list narrows by district or by time since the last visit.

Requests are tracked as open, won or lost, with the price, the reason for a loss and any attached document. Each company carries its win rate, and an insights panel lists the companies worth winning back.

Around these sit appointments that sync to Google Calendar and show travel time between visits, a monthly requests report, and a language model that suggests what to chase next and has to name the companies, vessels or requests behind each suggestion.

## Outcome

The platform has been live for two years. ARADA came to us through a mutual acquaintance, and the work has grown past software: we maintain the platform, add to it as the team's way of working changes, and advise the company on business development.
